Quotes
A quote is the document your customer says yes to before an invoice exists. Create it from a deal or from scratch, send it, and the customer accepts or declines on a page that needs no login. One click turns an accepted quote into a draft invoice.
Quotes are available from the Growth plan.
Create a Quote#
From a deal#
Step 1. Open the deal at /[company]/pipeline/deals/{id}
Step 2. In the Quote card, click Create Quote. Leadboard drafts a quote from every product line on the deal, billed to the deal's organisation (or its contact when there is none).
Step 3. You land on the quote page. Click Edit if the lines need changing.
What you'll see: the quote number (QT-0001, its own sequence), the date, the validity date (30 days by default), and the lines.
From scratch#
Step 1. Go to /[company]/quotes and click New quote
Step 2. Choose Contact or Organisation and pick who the quote is for. Their name and email fill in from the record.
Step 3. Optionally link a Deal — its products load as the lines.
Step 4. Add lines: description, quantity, unit price, discount, tax.
Step 5. Set Valid until in the right-hand card. Leaving it as suggested gives the customer 30 days.
Step 6. Click Save as Draft.
Tip: A quote uses the same form as an invoice. What you do not see is a payment-terms field — a quote has no due date, only a validity date.
Send a Quote#
Step 1. On the quote page click Send quote
Step 2. Check the To address and add an optional message
Step 3. Click Send quote
What you'll see: the status pill turns Sent, the status card shows Sent with a timestamp, and a Copy accept link button appears. The customer receives the branded email with the PDF attached and a Review & accept quote button.
A sent quote is locked. To change it, click Duplicate — the copy is a new draft that records which quote it revised.
What the Customer Sees#
The link opens /q/{token} — the quote, the lines, the total, and two buttons: Decline and Accept quote. Accepting asks for their name and an optional note; declining asks for a reason. Neither needs an account.
When they answer, you and the deal owner get an email, and the quote page shows Opened, then Accepted (with who accepted, when, and from which address) or Declined with the reason.
A quote past its validity date shows the customer an "expired" message instead of the buttons. A nightly job marks such quotes Expired; send a fresh one.
Convert to an Invoice#
Step 1. On an Accepted quote click Convert to invoice
Step 2. You land on the new draft invoice. Review it, then Issue as usual.
What you'll see: the quote's status becomes Converted and links to the invoice; the invoice's details card links back to the quote. If the quote came from a deal, the deal's product lines are updated to match what was accepted, so the deal value, the quote and the invoice agree.
A converted quote cannot be converted twice.
Manage Quotes#
Step 1. Go to /[company]/quotes
Step 2. Filter by status — Draft, Sent — awaiting answer, Accepted — ready to invoice, Converted, Declined, Expired, Void
Step 3. Use the Actions menu on a row:
- View / Edit (drafts)
- Send / Resend
- Convert to invoice (accepted)
- Duplicate — a new draft with the same lines
- Void — withdraws the quote; the customer's link stops working
Limits and Roles#
- Creating and duplicating quotes counts toward quotes this month on your plan. Reading quotes is never limited.
- Marketers, sales reps and accountants can create, send and convert quotes. Anyone who can see the invoice register can see quotes.
