Create or import the leadAdd a single lead manually or bulk-import via CSV with name, email, phone, company, source.

Fill all required fieldsFirst Name, Last Name, and Email are required. Add Phone, Company, Job Title, and Source for better context.

Set initial lead status to IDENTIFIEDNew leads default to IDENTIFIED. This marks them as freshly entered and not yet contacted.

Assign to a marketer or sales repAssign an owner so the lead appears in their dashboard and notifications.

Update status to CONTACTEDAfter first outreach (email, call, or meeting), change status from IDENTIFIED to CONTACTED.

Add to a Lead Group for segmentationGroup leads by campaign, region, or vertical for targeted follow-ups.

Run duplicate checkUse Detect Duplicates to merge any duplicate records before progressing.

Progress status to QUALIFIEDOnce budget, authority, need, and timeline are confirmed, mark as QUALIFIED.

Create product categoriesOrganize products into categories (e.g. Software, Services, Hardware).

Add products with pricingEach product needs a name, category, unit price, and optional description.

Ensure pipeline exists with stagesYou need at least one pipeline with ordered stages. Each stage has a win probability, and terminal stages marked Is Won or Is Lost.

Create a new deal linked to the leadSelect the pipeline, starting stage, and link the deal to the qualified lead.

Add products as deal line itemsAdd the products the lead is interested in, with quantity and unit price. Deal value auto-calculates.

Set expected close dateEstimate when the deal should close. This feeds into pipeline forecasting.

Move deal through stages on the Kanban boardDrag-and-drop the deal card across columns as it progresses: Qualified, Proposal Sent, Negotiation, etc.

Send communications and log activitiesUse the Communications module to send emails, log calls, and schedule meetings. Activities appear on the deal timeline.

Update lead status to PROPOSAL_SENT or IN_NEGOTIATIONKeep the lead status in sync with deal progress so dashboards reflect reality.

Review pipeline forecastCheck weighted deal values and probability to gauge revenue confidence.

Configure invoice numbering formatSet the prefix (e.g. "INV-"), starting number, and padding in Invoice Settings.

Set default payment termsChoose Due on Receipt, Net 30, Net 60, etc. as the default for new invoices.

Create tax rulesAdd tax configurations (VAT, GST, Sales Tax) with rates and jurisdictions.

Add company billing detailsLegal company name, tax ID, billing address, and bank details appear on every invoice.

Click "Convert to Invoice" on the dealFrom the deal detail page, this pre-fills the invoice with the deal's products, quantities, and pricing.

Review line items, tax, and totalsVerify subtotal, tax breakdown, and grand total. Add notes or adjust payment terms if needed.

Save as Draft, then IssueDraft invoices can be freely edited. When ready, click "Issue" to lock the invoice and notify the customer.

Record payment receivedWhen the customer pays, update the invoice with the payment amount and date.

Mark invoice as PaidOnce fully paid, transition the invoice status from Issued to Paid. This is audited in the invoice timeline.

Move deal to the "Won" stageDrag the deal to the stage marked Is Won=true on the Kanban board. This records the actual close date and marks the deal as closed-won.

Update lead status to CLOSED_WONSet the lead's status to CLOSED_WON to reflect the successful conversion across all dashboards.
