Organisations
Manage the institutions, partners, and accounts your team works with. Organisations are the B2B side of your CRM — universities, partner agencies, client companies, vendors, NGOs, government bodies. A single contact can belong to multiple organisations through their roles (Decision Maker, Champion, Budget Holder, etc.), and each organisation can carry deals, feedback, and its own assigned marketer.
View All Organisations#
Step 1. Go to /default/organisations
Step 2. The page opens with a summary panel at the top showing four KPIs:
- Active organisations — total count of non-archived accounts
- Clients — orgs of type CLIENT
- Partners — Academic Institutions + Community Partners + Non-profits + Government rolled together
- Open deals — total value of open deals across all your organisations
Step 3. Use the Type dropdown to filter by category (Prospect, Client, Partner, Academic Institution, Community Partner, Government, Non-profit, Vendor, Other).
Step 4. Use the Status dropdown to switch between Active, Inactive, Archived, or All.
Step 5. Use the search bar to find an org by name, email, or website.
Tip: Click any row to open its full profile.
Create an Organisation#
Step 1. Click + New Organisation (top right).
Step 2. Fill in the Identity section:
- Name (required) — the display name
- Legal name — registered legal entity name (optional)
- Type — pick from the 9 categories
- Status — defaults to Active
Step 3. Optional Profile section: Industry, Sector, Size band.
Step 4. Optional Contact section: Website, Email, Phone.
Step 5. Optional Address section: Street, City, State, Country, Postal code.
Step 6. Optional Billing details section — used as defaults whenever this organisation is the bill-to party on an invoice:
- Tax / VAT number — snapshotted onto org-billed invoices as the customer tax ID
- Registration number — company registration number
- Default payment terms — pre-fills the invoice's payment terms when you bill this org (e.g. Net 15, Net 60). Leave blank to use your company-wide default.
Step 7. Add a Description explaining how this org is relevant to your team.
Step 8. Add Tags (press Enter after each) to make filtering easier later.
Step 9. Click Create. You'll land on the new organisation's detail page.
Organisation Detail#
Step 1. Click any org from the list, or navigate to /default/organisations/{id}.
Step 2. The header shows the org name, type badge, status badge, industry, and a KPI strip with Contacts · Open deals · Feedback · Assigned to.
Step 3. Use Edit to change details, or Archive to soft-delete.
Step 4. Switch between the tabs:
- Overview — description, contact info, primary contact, tags
- Contacts — all linked leads, their role, primary flag
- Deals — every deal tied to this org, grouped into Open / Won / Lost
- Invoices — every invoice billed to this org with paid / outstanding / overdue totals
- Feedback — call notes, meeting summaries, observations
- Assignment — current marketer + reassignment history
Link a Contact to an Organisation#
You can link contacts from either side.
From the organisation:
Step 1. Open the organisation, go to the Contacts tab.
Step 2. Click + Link contact.
Step 3. Search for the contact by name or email in the dropdown.
Step 4. Pick a Role (Decision Maker, Influencer, Champion, End User, Gatekeeper, Budget Holder, Technical Lead, Other).
Step 5. Optionally add Job title and Department.
Step 6. Tick Set as the contact's primary organisation if this is their main affiliation. Any previously primary org for that contact is demoted automatically.
Step 7. Click Link contact.
From the contact:
Step 1. Open any contact at /default/leads/{id}.
Step 2. Switch to the Organisations tab.
Step 3. Click + Link organisation, search for the org, and pick a role.
Tip: A contact can belong to many organisations — perfect for advisors who sit on multiple boards or staff who consult across institutions.
Add Feedback to an Organisation#
Step 1. Open the organisation and switch to the Feedback tab.
Step 2. Type your note in the textarea (e.g. "Met with the Dean to discuss a 2-year B2B partnership programme. Strong fit with their AI curriculum.").
Step 3. Pick an action (Note, Mobile Call, Email, SMS, WhatsApp, Zoom, Google-Meet, AI Call, Other).
Step 4. Optionally pick a category (Positive, Negative, Question, Complaint, Suggestion, Follow Up, Meeting Notes, Call Summary, etc.) and a priority (Low / Medium / High).
Step 5. Click Add feedback. The new entry appears below with your name, action type, and timestamp. The KPI counter updates immediately.
Reassign the Marketer#
Only Admins and Owners can reassign organisations.
Step 1. Open the organisation, switch to the Assignment tab.
Step 2. Click Reassign marketer.
Step 3. Search for the new marketer in the dropdown (only active employees of your company appear).
Step 4. Add a reason so the audit trail is meaningful.
Step 5. Click Reassign. The KPI strip updates and a new row appears in the Assignment history with the previous and new marketer plus your reason.
Link Deals to an Organisation#
Step 1. Open the organisation and switch to the Deals tab.
Step 2. Click + New deal — the deal form opens with the Organisation field already prefilled.
Step 3. Pick a Contact and a Stage, then fill in the rest of the deal as usual.
Step 4. After saving, the deal appears in the org's Deals tab and contributes to the Open / Won / Lost stage totals.
You can also attach an existing deal: open the deal, edit it, and pick the organisation from the Organisation dropdown.
Tip: The deal list at /default/pipeline/deals supports filtering by organisation so you can quickly see "all open deals at the University of Lagos" or similar.
Bill an Organisation#
When the buyer is the organisation rather than an individual contact:
Step 1. Open the organisation and switch to the Invoices tab.
Step 2. Review the summary cards at the top: Outstanding, Paid, Overdue — totals across every invoice billed to this org.
Step 3. Click + New invoice. The invoice form opens with the organisation already preselected and the billing fields prefilled from the org's Billing details (legal name, email, address, tax ID, default payment terms).
Step 4. Optionally pick a CC contact so the human point-of-contact gets a copy of the invoice email.
Step 5. Add line items, review totals, and Save & Issue.
Tip: When you convert a deal into an invoice and the deal has an organisation linked, the invoice is automatically billed to that organisation — the deal's contact becomes the CC. Use the bill-to toggle on the form to override before saving.
For more on invoice creation, see Invoicing.
Archive an Organisation#
Step 1. Open the organisation.
Step 2. Click Archive in the header.
Step 3. Confirm the prompt.
The organisation is soft-deleted — its history (contacts, feedback, deals, assignments) is preserved. It disappears from the default Active list but re-appears if you switch the Status filter to Archived or All.
To restore, edit the organisation and set the Status back to Active.
When to Use Organisations#
Use the Organisations module whenever the relationship is bigger than a single contact:
- B2B sales — track the buying committee at a target company instead of just one champion.
- Partner / agency programmes — keep a directory of community partners, referral agencies, or co-marketing partners.
- Higher education — model partner universities, faculties, and the staff who span multiple campuses.
- Government & non-profit — track institutional grants and multi-stakeholder collaborations.
If your sales motion is purely B2C (one contact = one buyer), you can ignore the Organisations module — your leads, deals, and feedback continue to work exactly as before.
