Deals & Closing
Create deals, move them through your pipeline, and close them as won or lost.
The Deal Lifecycle#
A typical deal moves through these phases:
Lead → Qualified → Proposal → Negotiation → Won/Lost
Each phase maps to a stage in your pipeline. As a deal progresses, its win probability increases based on the stage configuration.
Create a Deal#
Step 1. Go to /default/pipeline/deals/new
Step 2. Fill in the deal details:
- Lead — select the contact associated with this deal
- Pipeline — choose which pipeline to place the deal in
- Stage — select the starting stage
- Products — add one or more products as line items
- Deal Value — the total value (auto-calculated from products or entered manually)
- Expected Close Date — when you anticipate closing
Step 3. Click Save
Tip: Always associate a deal with a lead. This links the deal's activity to the contact's history for a complete view.
Kanban Board#
Step 1. Go to /default/pipeline/board
Step 2. View your deals as cards organized by stage in a kanban layout
Step 3. Drag and drop a deal card to move it to a different stage
Step 4. Review the toolbar stats at the top:
- Total Value — sum of all visible deal values
- Weighted Value — deal values multiplied by their stage's win probability
Step 5. Click a deal card to open its detail page
Tip: The kanban board is ideal for daily pipeline reviews. Use the list view for filtering and bulk operations.
Deal List View#
Step 1. Go to /default/pipeline/deals
Step 2. Browse all deals in a table format
Step 3. Use the pipeline filter to show deals from a specific pipeline
Step 4. Sort by value, stage, close date, or creation date
Deal Detail#
Step 1. Go to /default/pipeline/deals/{dealId} (click any deal from the board or list)
Step 2. Review the full deal profile:
- Deal Info — value, stage, pipeline, expected close date
- Contact — linked lead details
- Products — line items with quantities and pricing
- Activity Timeline — all stage changes, notes, and communications
- Convert to Invoice — button to create an invoice from this deal
Moving Deals#
There are two ways to move a deal between stages:
Option A — Kanban Board: Drag the deal card to the target stage column.
Option B — Deal Detail: Open the deal and select a new stage from the Stage dropdown.
Both methods automatically log the stage change in the activity timeline.
Deal Products#
Step 1. On the deal creation or edit page, click Add Product
Step 2. Select a product from your catalog
Step 3. Set the Quantity, Unit Price, and optional Discount
Step 4. The line total is auto-calculated
Step 5. Add more products as needed — the deal value updates automatically
Closing a Deal#
Won#
Step 1. Move the deal to a stage where Is Won is set to true
Step 2. The deal is marked as closed-won
Step 3. The activity timeline records the close date and final value
Lost#
Step 1. Move the deal to a stage where Is Lost is set to true
Step 2. Enter a Lost Reason explaining why the deal was lost
Step 3. The deal is marked as closed-lost
Tip: Always record a lost reason. Over time, this data reveals patterns that help you improve your win rate.
Forecast#
Step 1. Go to /default/pipeline/forecast
Step 2. Review the forecast dashboard:
- Summary Cards — total pipeline value, weighted value, expected closes this month
- Stage Breakdown — value at each stage weighted by win probability
- Trends — how your pipeline has changed over time
Tip: Use the forecast to prioritize deals that are closest to closing and identify stages where deals tend to stall.
Converting a Deal to an Invoice#
Step 1. Open the deal detail page at /default/pipeline/deals/{dealId}
Step 2. Click Convert to Invoice
Step 3. Review the pre-filled invoice with the deal's products, quantities, and pricing
Step 4. Adjust any details as needed
Step 5. Click Save to create the invoice
