Leads Management
Capture, organize, and manage your contacts in one place.
View All Leads#
Step 1. Go to /default/leads
Step 2. Browse the leads table with columns for name, email, phone, status, and more
Step 3. Use the search bar to find specific leads by name or email
Step 4. Apply filters to narrow results by status, source, or assignment
Step 5. Click the expand arrow on any row to see a quick summary without leaving the list
Tip: Use column sorting to quickly find your most recent or highest-value leads.
Create a Lead#
Step 1. Go to /default/leads/new
Step 2. A quick-create dialog opens. Fill in the basics:
- First Name (required)
- Last Name (required)
- Email or Phone — at least one is required (both is best)
Step 3. Click Create Contact. You'll be taken to the full edit page.
Step 4. On the edit page, add details: company, job title, source, classification, groups, custom fields, and assignment. Click Save Changes.
Important: A contact must have an email or a phone number. Email and phone are each unique within a company, so the system rejects a duplicate before it's created. Contacts without an email cannot be sent emails or enrolled in drip campaigns until you add one.
Import Leads#
Step 1. Go to /default/leads/import
Step 2. Download the import template (CSV format)
Step 3. Fill in your lead data following the template columns
Step 4. Upload the completed CSV file
Step 5. Map your CSV columns to Leadboard fields
Step 6. Review the preview and click Import
Tip: Clean your data before importing — remove duplicates, fix formatting, and ensure email addresses are valid.
Lead Detail#
Step 1. Go to /default/leads/{id} (click any lead from the list)
Step 2. Review the lead's full profile:
- Contact Info — name, email, phone, company, job title
- Engagement Metrics — emails opened, links clicked, last activity
- Associated Deals — deals linked to this lead
- Feedback & Notes — internal notes and activity history
Edit a Lead#
Step 1. Go to /default/leads/{id}/edit (or click Edit on the lead detail page)
Step 2. Update any fields as needed
Step 3. Click Save
Lead Groups#
Lead groups let you organize leads into segments for targeted campaigns or follow-ups.
Step 1. Go to /default/leads/groups
Step 2. Click Create Group
Step 3. Enter a Group Name and optional description
Step 4. Add leads to the group manually or by filter criteria
Step 5. Click Save
Manage Groups#
Step 1. Go to /default/leads/groups/manage
Step 2. View all groups, their member counts, and creation dates
Step 3. Click a group to add or remove members
Step 4. Use groups when selecting recipients for campaigns or automation
Duplicate Detection#
Step 1. Go to /default/leads/duplicates
Step 2. Review the system's list of potential duplicate leads (matched by email or phone)
Step 3. For each duplicate pair, choose to Merge (combine into one record) or Dismiss (mark as not a duplicate)
Step 4. When merging, select which record to keep as the primary
Important: Merging is permanent. Review both records carefully before confirming.
Dynamic Fields#
Create custom fields to capture information specific to your business. Fields can be grouped into sections and shown on contacts, event registrations and high value content forms.
Add a Field#
Step 1. Go to /default/leads/dynamic-fields
Step 2. Click Add Field
Step 3. Configure the field:
- Field Name — the label shown on forms
- Field Type — see the list below
- Options — for Dropdown, Single choice and Multiple choice, the choices a person can pick
- Section — which heading the field sits under, or the unsectioned group
- Appears on — any combination of Contact, Event and High Value Content forms
- Required — whether the field must be filled in
Step 4. Click Save
Step 5. The field appears on the lead creation and edit pages, and on any event or high value content form you selected
Field Types#

File upload fields let you choose which kinds of file are accepted:
- Images (JPEG, PNG, WebP, GIF, HEIC) up to 10 MB
- PDF documents up to 25 MB
- Video (MP4, MOV, WebM) up to 200 MB
File upload fields are available on the Contact form only. Uploaded files are stored in the workspace's Documents and count towards its storage.
Sections#
Group related fields under a heading so long forms stay readable.
Step 1. Click New section, give it a name and save
Step 2. Set each field's Section, or drag fields between sections on the page
Step 3. Drag fields (or use the arrow buttons) to change the order within a section
Fields with no section sit under a heading called General. Rename it to match your business, for example "Applicant Details", using Rename on that heading.
Tip: Use dynamic fields to track industry-specific data like "Company Size", "Budget Range", or "Contract Renewal Date".
Unsubscribed Leads#
Step 1. Go to /default/leads/unsubscribers (Also accessible via the Unsubscribers link in the Leads sidebar)
Step 2. Browse the list of all leads who have opted out of one or more email categories
Step 3. Click any lead to open their detail page, including their communication history and subscription status
Sending an Unsubscribe Link#
To give a specific lead the option to manage their email preferences:
Step 1. Go to /default/leads and click on the lead's name to open their detail page
Step 2. Click the Communication tab
Step 3. Click Send Unsubscribe Link — a confirmation modal will ask you to confirm
Step 4. The lead receives an email with a secure link to a public Preference Center where they can toggle email categories or unsubscribe from all
Note: Unsubscribed leads are automatically excluded from email campaigns. The email gateway checks subscription preferences before sending. See Communications > Email Preferences for the full details.
